Grants and Operations Administrator
CalCAN is hiring a Grants and Operations Administrator (GOA) to establish processes and systems for a new Midwest Climate and Agriculture Conservation Pilot. You will play a central role by managing the administrative, financial and technological functions. You believe that agriculture is part of the solution to climate change and are interested in contributing to a project that is building the capacity of farmer-serving organizations as they connect smaller scale, underserved and diversified producers with conservation resources, and advocating for improved access and funding. This is a new project and a new position with the opportunity to creatively contribute to success. The GOA reports to the Agriculture Conservation Director and collaborates with CalCAN’s Operations Manager who is responsible for similar tasks for the California-based work.
You are a highly organized, detailed, and self-motivated administrative and operations professional. You appreciate the importance of a well-functioning organization, want to work with a small team of dedicated advocates, and enjoy the challenge of establishing and maintaining operational and administrative systems. You are interested in creating operational solutions and ensuring that processes are efficient, communicated, and well-maintained. You are practical, creative and flexible and know how to anticipate needs and solve problems proactively. You also have a proven ability to develop and maintain an environment of trust, diversity, and inclusion.
Location and Working Conditions:
This is a remote position with a preference for someone based in the Midwest.
Compensation:
This is a regular, non-exempt, salaried position at 32 hours/week, with a range equivalent to FTE of $65,000 – $80,000, commensurate with experience.

Responsibilities:
Administration and Operations
- Identify and implement administrative tools and provide training and support for their use
- Manage the execution of contracts and subawards
- Manage subscriptions, software, and online systems; research and implement new systems as needed
- Develop operational protocols and processes as a resource
- Facilitate calendaring of group meetings, as needed (i.e., using Doodle polls)
- Maintain an orderly system for shared documents and procedural and personnel manuals
- Support the planning and execution of online and in-person events and webinars
Financial Management
- Serve as the primary liaison with CalCAN’s fiscal sponsor on project finances and administration, mastering their cloud-based tools
- Oversee all payables and receivables transactions and ensure the timely payment of invoices
- Work with the Agriculture Conservation Director (ACD) to prepare quarterly financial reports and projections, and annual budgets
- Set up and manage a system for billing and federal reporting for this new project
- Support the collection and compilation of deliverables from sub-awardees on the project
- Work with the ACD to produce materials (e.g., curriculum, fact sheets, farmer stories, etc.)
- Manage logistics for in-person gatherings
Other
- Contribute to the development of impact metrics and reports
- Participate in weekly all-staff meetings and periodic social justice trainings and discussions
- Collaborate on virtual convenings, in-person gatherings and advisory committee meetings
- Contribute to a collaborative organizational culture that attracts, engages, motivates, and retains a diverse, highly qualified and effective team and network
- Play a constructive role in the development and evolution of the Midwest Agriculture Conservation project
Desired Qualifications:
- Demonstrated alignment with CalCAN’s vision and guiding principles and ideally some familiarity with the agriculture field
- Several years of relevant and applicable work experience in project management, nonprofit administration and operations, and financial management
- Comprehensive working knowledge of the computer tools used by CalCAN, or their equivalents: Google Suite, Zoom, MS Word, MS Excel, Adobe, Google Suite, Canva, Bill, Nifty, Sage Intacct
- Proven track record of creating systems and processes that make growing organizations run more efficiently
- Ability to work as part of a team and take initiative when carrying out job responsibilities
- Proven relationship-builder with strong interpersonal skills
- Self-directed, well organized, resourceful, and focused yet flexible when faced with changing priorities
- Demonstrated ability to effectively prioritize multiple commitments and balance many tasks that require careful attention to detail
- Strong desire to learn and openness to receive and give feedback, and a commitment to continual professional development and healthy team communication
